Reinvent (“we,” “us,” “our”) is based in Ireland and operates reinvent.ie. This policy explains what personal data we collect, why, and how we handle it.
What we collect
- Contact form submissions: name, email, business name, phone (if provided), and what you're hoping to improve, along with any message you write.
- Chatbot conversations: anything you type into the chat widget on our site.
- Basic technical data: standard website analytics (e.g. pages visited, general location by country/region, browser type) collected automatically by our hosting provider.
Why we collect it
- To respond to enquiries and arrange a free process review.
- To understand what a visitor is looking for so we can give a relevant answer, either via the chatbot or a follow-up from a person.
- To improve our website and services.
We do not sell your personal data, and we do not use it for advertising or marketing to third parties.
How your chatbot conversations are handled
When you use the chat widget on our site, your messages are processed by a third-party AI service provider to generate a response. Conversations may be reviewed by us to improve the quality and accuracy of the chatbot's answers. If you share contact details during a chatbot conversation, that information — along with a summary of the conversation — is stored in our customer relationship management system, the same as if you'd submitted our contact form, so we can follow up with you directly. We do not sell your personal data to third parties. Avoid sharing sensitive personal information in the chat — it isn't needed for us to help you.
How we handle email correspondence
Emails sent to our business address are managed through a third-party service, in line with GDPR and the Irish Data Protection Act. Automated processing may capture contact details (such as name and phone number) from correspondence and suggest relevant follow-up actions on our end. This processing applies to new correspondence going forward, not retroactively. This service acts as our data processor for this purpose; we do not use this to build profiles for marketing purposes, and email content is used only to manage our relationship with you.
Where your data is hosted
Our website is hosted by a third-party cloud hosting provider. We use third-party service providers — including an AI processing partner and a customer relationship management platform — to deliver our services. These providers may process data outside Ireland/the EU as part of their standard infrastructure, under appropriate data protection safeguards. How long we keep it
- Contact form submissions are kept for as long as needed to respond to your enquiry and, if we begin working together, for the duration of that relationship plus a reasonable period afterward for legitimate business and legal record-keeping purposes.
- Chatbot conversation logs are retained for a limited period for quality and improvement purposes, then deleted or anonymised.
Your rights
Under GDPR, you have the right to access, correct, or request deletion of your personal data, and to object to or restrict certain processing. To exercise any of these rights, contact us at legal@reinvent.ie. You also have the right to lodge a complaint with the Data Protection Commission (dataprotection.ie) if you believe your data has been mishandled.
Cookies
We use a small number of strictly necessary cookies required for the website to function — for example, security tokens that protect our contact form from spam and abuse. These do not track you, are not used for advertising or analytics, and do not require your consent under Irish law, since they're essential to the service you're using. We do not use analytics, advertising, or tracking cookies of any kind.
If this changes (for example, if we introduce analytics or embed third-party booking tools that set their own cookies), we'll update this policy and add a consent option where required.

We may update this policy from time to time. The “last updated” date at the top reflects the most recent revision.
